Purpose

The Purchasing Administrator - Orga Projects provides critical project and process support for the Purchasing Operations department. This role requires strong organizational skills, high attention to detail, and the ability to work independently to manage multiple tasks on tight deadlines. The position liaises with Purchasing, Accounting, and internal stakeholders, delivering strong customer service and maintaining strict process adherence across all departmental workflows. The Purchasing Administrator must possess intermediate to advanced German language skills to operate systems, assist with translating documents, and liaise with International Headquarters.

Responsibilities

Project Support & Operations

  • Execute administrative tasks for Category Group Analysis (WGA), attending WGA sessions alongside Category Managers to record agreed decisions and changes.
  •  Assist in processing, tracking, and coordinating incoming international tasks with relevant stakeholders through to completion.
  • Process supplier deductions in close coordination with Purchasing and Accounting, and assist in tracking and resolving invoice price discrepancies.
  • Follow established guidelines and standardized milestones to ensure strict process adherence across all assigned project deliverables.

 

Systems, Communications & Administrative Support

  • Perform accurate data entry and maintain records across internal systems, Google Workspace platforms, and Salesforce.
  • Serve as a direct point of contact for internal teams and Purchasing stakeholders, providing prompt support and reporting system issues to appropriate internal teams or external vendors.
  • Assist line management with process improvement initiatives and execute ad-hoc operational tasks as needed.

About You

  • High School Diploma / GED (6+ months of frontline retail experience is highly valued to understand company culture).
  • 1–2 years of administrative, clerical, or high-volume retail customer service experience.
  • Proficient in Google Workspace or related software, with preferred experience in Salesforce platforms.
  • Intermediate to advanced German language skills to operate systems, assist with translating documents, and liaise with International Headquarters.
  • Excellent time management, organizational, and project management skills, with the ability to prioritize conflicting workloads and execute tasks on tight deadlines.
  • Highly proactive and self-motivated, with the ability to take full ownership of assignments and maintain a high level of accuracy.
  • Excellent verbal, written, interpersonal, and customer service communication skills, with the professional demeanor needed to engage effectively with all levels of staff and senior leadership.

Physical Requirements

  • Most work is performed in a temperature-controlled office environment.
  • Must be able to sit for prolonged periods of time at a desk or computer terminal.
  • May use keyboards, telephone, and standard office equipment in the course of a normal workday.
  • Stooping, bending, twisting, and reaching may be required in the completion of job duties.
  • Must be able to lift up to 25 pounds at times.
