Summary

The objective of this position is to provide a full spectrum of high-level secretarial and administrative support to our Senior Leader.

What you'll do

In coordination with your superior, you will be mainly responsible for the following areas:

  • Calendar & Travel Management: Provide a full spectrum of secretarial and administrative support by managing up-to-date schedules, appointments, business functions, and complex travel arrangements.

  • Meeting & Event Coordination: Coordinate logistical needs for business meetings, workshops, or conferences, including the preparation of agendas, minutes, and related materials.

  • Correspondence: Handle internal and external business correspondence independently and professionally.

  • Confidentiality & Administration: Safeguard confidential information and maintain an organized, proper filing system.

  • Administrative & Secretarial Support: Potential requirement to assist in translating business documents and communications between English and German for our German Headquarters.

  • Ad-Hoc Support: Manage and support other ad-hoc projects and duties as required.

What you'll need

  • Experience: Degree holder with substantial experience in a senior secretarial or executive assistant role (typically 5 or more years).

  • Languages: Excellent command of spoken and written English. Proficiency in the German language is preferred for seamless communication and reporting with our German Headquarters.

  • Industry Background: Experience within a buying office, trading, or manufacturing environment is a strong plus.

  • Technical Skills: Excellent computer literacy and proficiency in Google Workspace.

  • Core Competencies: Mature, detail-oriented, a fast learner, and well-organized with a strong sense of responsibility.

  • Work Style: Flexible, resilient under pressure, and able to manage multiple tasks independently.

  • Interpersonal Skills: High level of personal integrity with excellent communication skills.
