Summary
This role mainly supports the strategic and operational management of Lidl & Kaufland Asia’s office lease portfolio and workplace project execution across the Asia. This role is responsible for coordinating office leasing activities, supporting decision-making processes, and managing fit-out project implementation, ensuring timely, cost-effective, and high-quality outcomes in alignment with Lidl & Kaufland Asia’s business needs. This role will also need to support and manage other facility management related tasks. More experienced candidates will be considered for Assistant Facilities Manager.
What you'll do
I. Office Leasing Support:
- Assist with the management of Lidl & Kaufland Asia’s office lease portfolio in the regions, including renewals, relocations, expansions, and new site identification.
Support lease administration and documentation, including approval workflows and tracking. - Prepare lease-related financial analyses and summaries to inform strategic decisions.
- Liaise with internal stakeholders and external consultants on leasing opportunities and lease negotiations.
- Monitor upcoming lease events and ensure proactive planning and execution.
- Contribute to benchmarking studies to support budgeting and market positioning.
II. Workplace Fit-out Projects:
- Lead the delivery of office fit-out projects from planning through to handover.
- Conduct project feasibility assessments, budgeting, scheduling, and proposal development.
- Make the ownership in managing vendor selection, tender evaluations, and contract administration.
- Monitor project progress, update internal trackers, and maintain project documentation.
- Organize project meetings, prepare regular updates, and escalate risks or issues as needed.
- Conduct site visits and inspections to ensure quality standards and project timelines are met.
- Review the invoices and ensure proper tracking of costs and payments.
III. Work on ad-hoc tasks and projects in Facilities Management Team
- Oversee day-to-day operations of leased office properties.
- Collaborate with line manager and other team members to optimize office space utilization and workplace efficiency.
- Support space reconfiguration, employee move planning, and accommodation strategies in line with evolving Lidl & Kaufland Asia’s business needs.
- Identify opportunities to reduce costs and improve operational efficiency through strategic sourcing, energy management, and asset lifecycle planning.
- Drive sustainability initiatives including energy reduction, waste management, water efficiency, ect.
What you'll need
- Bachelor’s degree in Facilities Management, Architecture, Business Administration, or a related field.
- Minimum 5 years of experience in office leasing, workplace projects, or facilities coordination.
- Familiarity with commercial leasing processes and office project management in Asian countries incl. Singapore, Hongkong and southeast Asian countries.
- Strong analytical and organizational skills, with attention to details
- Excellent communication and interpersonal abilities; able to work across cultures and functions.
- Proficient in Microsoft Excel, PowerPoint, and project tracking tools.
