Summary

The Senior Facilities Specialist is supporting line manager and department head to be responsible for the day-to-day operational excellence of the Singapore headquarters and provides high-level technical and administrative support for the Asia-wide Real Estate and Fit-out portfolio. This role bridges the gap between hands-on facility management and strategic project coordination.This role will also provide administrative support within department of procurement & facilities Management.

What you'll do

Singapore Office Operations & A&A Oversight

  • Operational Lead: Execute and oversee the daily "Full Spectrum" of administrative and facility services in Singapore to ensure a high-standard workplace environment.
  • A&A Coordination: Support the AM in managing Alterations & Additions (A&A) works, including supervising contractors on-site and ensuring minimal disruption to office flow.
  • Maintenance & MEP: Serve as the first point of contact for technical facility issues; coordinate with Building Management and external vendors for scheduled and corrective maintenance.
  • Safety & Compliance: Take a supportive role in local Health and Safety (OSH) checks, ensuring fire safety equipment, first aid kits, and office ergonomics meet local regulations.
  • Inventory & Logistics: Manage the end-to-end supply chain for office and pantry inventory, ensuring cost-effective procurement and stock availability.

 

Regional Project & Lease Support

  • Project Documentation: Act as the central coordinator for Asia-wide fit-out projects, maintaining project trackers, budget sheets, and tender documentation.
  • Lease Portfolio Tracking: Proactively monitor the regional lease calendar for all Asia locations, flagging upcoming renewals or break clauses and preparing the necessary documentation for approval workflows.
  • Market Intelligence: Assist in gathering regional data for benchmarking studies, including local vendor rates and market rental comparisons to support strategic decision-making.
  • Site Inspections: Support line manager during regional fit-out projects by conducting site audits, taking progress photos, and ensuring contractors adhere to company’s quality standards.

 

Financial Control & Vendor Management

  • Invoice Governance: Conduct rigorous first-level verification of all quotations and invoices against work orders to ensure accuracy and cost-control.
  • Tender Support: Assist in the tender process by preparing Request for Proposal (RFP) documents, consolidating vendor bids, and conducting initial price comparisons.
  • Performance Evaluation: Monitor vendor performance against SLAs (Service Level Agreements), particularly for outsourced cleaning and specialized technical services.

 

Sustainability & Workplace Experience

  • Sustainability Tracking: Monitor and report on local energy, water, and waste data to support company-wide ESG targets.
  • Staff Engagement: Act as the primary liaison for employee facility requests, ensuring a quick response time and high internal customer satisfaction.
  • Event Logistics: Coordinate the logistical setup for internal office events, town halls, and VIP visits.

Work on ad-hoc tasks and projects in Procurement & Facilities Management Team

 

What you'll need

  • Bachelor’s degree in Facilities Management, Architecture, Business Administration, or a related field.
  • Minimum 5 years of experience in office leasing, workplace projects, or facilities coordination.
  • Familiarity with office project management in Asian countries incl. Singapore, Hongkong and southeast Asian countries.
  • Strong analytical and organizational skills, with attention to detail.
  • Excellent communication and interpersonal abilities; able to work across cultures and functions.
  • Proficient in Microsoft Excel, PowerPoint, and project tracking tools.
